And in the chaos of a live event, a branded crew t-shirt or a hi-vis tabard can be the difference between things running smoothly and things unravelling.
Here's a practical guide to getting your event clothing right β whether you're running a corporate conference, a food festival, or a 10,000-person music event.
Start with your staff structure
Before you order anything, map out who's working and what they're doing. Most events have a few distinct groups:
- Event management and coordinators β often want something smarter; a branded polo shirt or softshell jacket works well
- General crew β crew t-shirts or hoodies, usually with a large back print
- Front-of-house and hospitality staff β polo shirts, aprons, or front-of-house shirts
- Security β often have their own branded clothing requirements; check with your security contractor
- Volunteers β usually just need something simple and cheap; a printed t-shirt is fine
- Hi-vis staff (car parking, crowd management, backstage logistics) β branded hi-vis vests or jackets

The event clothing essentials
Crew t-shirts The staple of any event. Printed, not embroidered β you need a large, clear design that's visible at a distance, and print is both faster and cheaper for this use case. A bold logo on the back, event name or year on the front. 100% cotton holds print well and is comfortable in warm weather.
Crew hoodies Popular for outdoor events where the weather is unpredictable (which is most events in the UK). Printed hoodies are practical and look great. Order a range of sizes and always over-order slightly β you'll thank yourself when extra volunteers show up on the day.
Polo shirts The smarter option for management, hospitality, or client-facing staff. Embroidered chest logo, available in a range of colours to differentiate roles. More expensive than t-shirts but significantly more professional.
Hi-vis vests For any staff with site access responsibilities, parking, or crowd management. Your company or event name printed on the back. EN ISO 20471 compliant options available.
Branded caps Practical for outdoor events in summer, and they double up as merchandise if you're doing a consumer-facing event. A printed or embroidered cap with your event logo is an easy add.
The most common mistakes
Ordering too late This is the big one. Most event organisers leave clothing to the last minute and then panic when they realise a standard supplier has a 2β3 week lead time. As a rule of thumb: have your clothing ordered and delivered at least a week before the event. That gives you time to check everything, sort any issues, and distribute to your team without rushing.
Ordering too few Always over-order slightly. Sizes change, new staff join, garments get damaged. Having 10% extra on hand costs relatively little and saves a lot of headaches. For events, we'd suggest keeping a small stock of the most common sizes (M, L, XL) as spares.
Not differentiating roles If everyone wears the same crew t-shirt, it becomes very hard for attendees to identify different types of staff. Consider using different colours for different roles, or at least different wording on the back. It's a small thing that makes a big operational difference on the day.
Forgetting about the weather UK outdoor events in summer still need hoodies. Always have some. Plan for rain. If you're ordering in spring for a summer event, it's tempting to go light β resist.
How far in advance should I order?
For a straightforward order of printed t-shirts or hoodies:
- Minimum: 2 weeks before the event (allows time for proof approval and any issues)
- Recommended: 4β6 weeks before, especially for larger orders or first-time customers
- Ideal: 8+ weeks if you have personalisation, multiple garment types, or a large team
